# Team collaboration

> Invite team members, assign roles and permissions, set up approval workflows, and manage multi-user workspaces in Socializioz for agencies and teams.

Socializioz workspaces support multiple team members with role-based access. This guide covers how to build and manage a team, set up content approval workflows, and organize workspaces for agencies or multi-brand teams.

  Team collaboration features (inviting members and assigning roles) are available on Pro and Enterprise plans. Free and Starter plans are limited to a single workspace owner.

## Invite a team member

<Steps>

    Go to **Settings > Workspace** from the sidebar on desktop or the More menu on mobile.
  </Step>

  <Step title="Scroll to Invite Member">
    In the workspace settings page, find the **Invite Member** section.
  </Step>

  <Step title="Enter email and role">
    Type the email address of the person you want to invite and select a role from the dropdown: **Admin** or **Member**.
  </Step>

  <Step title="Click Add">
    The person is added to the workspace immediately. They must already have a Socializioz account. If the email is not registered, the invite fails with an error.

## Roles and permissions

Each workspace has exactly one owner, plus any number of admins and members.

| Role       | Description                                                                     |
| ---------- | ------------------------------------------------------------------------------- |
| **Owner**  | Full control over the workspace, including deletion, billing, and all settings. |
| **Admin**  | Manage workspace settings, brand profiles, members, and all content.            |
| **Member** | Create and manage posts, campaigns, media, and analytics within the workspace.  |

### What each role can do

<Tip>
  Assign **Admin** to team leads who need to manage settings and members. Use **Member** for creators who only need content and reporting access.

## Change a member's role

Owners and admins can change roles from **Settings > Workspace** in the members list. Click the role dropdown next to a member's name and select a new role. The change takes effect immediately.

The Owner role cannot be reassigned through the interface. See [transfer workspace ownership](#transfer-workspace-ownership) below.

## Remove a member

From the members list in workspace settings, click **Remove** next to the member you want to remove. A confirmation prompt appears. Once removed, the member loses access to all workspace content immediately. To restore access, re-invite them.

## Transfer workspace ownership

Ownership transfer is handled by the support team for security reasons.

    The person receiving ownership must already be a member of the workspace. If they are not, [invite them](#invite-a-team-member) first.

  <Step title="Open a support ticket">
    Go to the [support page](/features/support) and submit a ticket requesting a workspace ownership transfer. Include the workspace name, the current owner's email, and the new owner's email.
  </Step>

  <Step title="Wait for confirmation">
    The support team verifies both parties and transfers the Owner role. The previous owner is downgraded to Admin.

## Set up an approval workflow for your team

Approvals give teams a controlled review step before posts go live. Use them for client work, high-visibility campaigns, AI-assisted drafts, or any content that needs a second review.

    A team member creates a post in the [Composer](/features/composer), completes required media and platform fields, and chooses the appropriate publish or schedule path.
  </Step>

  <Step title="Submit for approval">
    Send the post to [Approvals](/features/approvals) when it needs review before publishing. It enters the approval queue with a **Pending** status.
  </Step>

  <Step title="Review the post">
    A reviewer opens the **Approvals** tab in the [Publishing Hub](/features/publishing-hub), checks the content, media, account, and schedule, then chooses **Approve**, **Reject**, **Reschedule**, or **Publish now**.
  </Step>

  <Step title="Handle rejections">
    If rejected, the creator reviews the notes, edits the post, and resubmits it for approval.
  </Step>

Use **Auto-approve** only for trusted routine posts that do not need a review step. Posts that skip approval move directly to scheduled status and publish at the selected time.

  The approval workflow is available on Professional and Enterprise plans. On Free and Starter plans, team approval workflows are not available.

## Organize workspaces for agencies

If you manage multiple brands or clients, create a separate workspace for each one. This keeps content, accounts, analytics, and billing isolated.

### Recommended setup

| Scenario                         | Workspace structure                                                   |
| -------------------------------- | --------------------------------------------------------------------- |
| **Single brand**                 | One workspace with all team members.                                  |
| **Agency with multiple clients** | One workspace per client, with relevant team members invited to each. |
| **Multi-brand company**          | One workspace per brand, with shared admins across workspaces.        |

### How workspace isolation works

Each workspace is a separate environment:

* Posts, drafts, and scheduled content belong to the workspace where they were created.
* Connected social accounts are linked per workspace.
* Media library storage is counted per workspace.
* Analytics show only data from the active workspace.
* Billing and subscription are per workspace.
* Brand profiles are scoped to the workspace.

Team members can belong to multiple workspaces with different roles in each. For example, someone could be an Admin in one workspace and a Member in another.

  Use the workspace selector in the sidebar to switch between workspaces. Posts, campaigns, accounts, media, approvals, and analytics update to match the active workspace.

## Common team workflows

### Onboard a new team member

1. Ask the new member to create a Socializioz account at [socializioz.com](https://socializioz.com).
2. [Invite them](#invite-a-team-member) to the workspace with the appropriate role.
3. Share relevant brand profile details so they understand the brand voice.
4. Point them to the [onboarding guide](/getting-started/onboarding) and [AI Chat assistant](/features/ai-chat) guide.

### Audit team activity

Open the [Activity Log](/features/activity-log) to see a timeline of workspace actions, including publishing events, approvals, account changes, and AI actions. Use filters to narrow by event type, platform, or date range.

### Review content before publishing

Use the [Publishing Hub](/features/publishing-hub) to see pending approvals, scheduled posts, failed jobs, and published posts in one place. The approvals tab shows every post waiting for review.

## Troubleshooting

| Problem                                           | Resolution                                                                                                                                          |
| ------------------------------------------------- | --------------------------------------------------------------------------------------------------------------------------------------------------- |
| Invited member does not appear in the list        | The user must already have a Socializioz account. Ask them to sign up first, then resend the invite.                                                |
| Cannot invite new members                         | Only **Owner** and **Admin** roles can invite members. Check your role in the members section of workspace settings.                                |
| Member cannot edit workspace settings             | Only Owners and Admins can edit workspace settings and brand profiles. Members have content-creation access only.                                   |
| Need to change the workspace owner                | Ownership transfer is handled by [support](/features/support). Submit a ticket with the workspace name and the emails of the current and new owner. |
| Team member sees content from the wrong workspace | All content is scoped to the active workspace. Check the workspace selector in the sidebar to confirm the correct workspace is selected.            |
| Approval workflow is not available                | Approvals require a Professional or Enterprise plan. [Upgrade your plan](/account/plans-and-billing) to enable content review workflows.            |
